Imara Fuel Suite · Petrol & diesel stations

Every litre accounted for.
Every shilling reconciled.

Fuel station software built in Uganda. The pump meters tell IFS what was sold, so every shift's cash-up, every tank dip and every delivery checks against the same number, and you see straight away where money or fuel went missing.

Without a system

A fuel station can be busy all day and still quietly leak money.

Most stations run on a handwritten register, a calculator and trust. That works until the numbers stop adding up and nobody can say why.

Shorts nobody can explain

The cash at shift-end doesn't match, but the book doesn't say who was short, how often, or by how much.

Fuel that disappears

Dips get taken but never checked against deliveries and sales, so a slow leak or pilferage runs for months.

Profit you can't see

Prices change, deliveries come in at different costs, and the real margin per litre is a guess.

Running out at the worst time

Nobody knows how many days of diesel are left until the trucks are already queuing at an empty pump.

Two months, one stationUGX 913,000

When we digitised two months of a working station's handwritten register, the pump meters showed UGX 913,000 more in sales than the book recorded: four days left out, plus small calculation slips. IFS reads sales off the meters, so errors like these don't build up.

How it works

Two daily checks. One source of truth.

IFS isn't a stock list. It reconciles two things every day: the money and the fuel. Both checks start from the litres on the nozzle meter.

Loop 1 · The money

Shift cash-up

(closing meter − opening meter) × price
= expected sales
vs cash + mobile money + card/credit + expenses
= the attendant's variance (+ over / − short)

Every shift is closed against its own pumps. Variances build into a record per attendant, so a pattern shows up for what it is.

Loop 2 · The fuel

Tank dip vs book

previous dip + deliveries − litres sold by meter
= book stock
vs today's measured dip
= daily gain / loss per tank

A 30-day chart per tank separates normal evaporation from a leak, meter drift or theft, and flags it before it becomes a big number.

Price changes are logged as events, so litres sold before and after a change are each valued at the right price. Margin is real, not estimated.

What's inside

Everything a station owner asks at the end of the day.

Shifts & cash-up

Open and close shifts per pump. Opening meters carry forward automatically. A supervisor can cover an absent attendant.

Variances by attendant

Over and short per shift, per attendant, per month. Repeat shorts are flagged for you.

Tank stock

Days of cover & reorder

Stock now, fill level, days of cover, run-out date and how many litres to order, for every tank.

Deliveries at true cost

Record every restock with litres, unit cost, supplier and invoice. A running weighted-average cost per tank keeps margins honest.

Expenses with an audit trail

Station and per-shift petty cash. Every edit and delete records who did it and when. Only the manager can change records.

Bankings

Track what was banked and what came in by mobile-money merchant against what the shifts collected.

Reports the owner actually reads

All figures are calculated from the meters, so they're complete even before cash-ups catch up. Every report prints cleanly.

  • Summary: today, this month, by product, by station
  • Month by month
  • Sales & margin trend (weekly)
  • Daily profit
  • Busy days and price-change impact
  • Meter readings, editable by the manager
Multi-station

One owner, many stations

A station switcher shows all stations or one at a time. Staff only ever see their own station's shifts.

Targets

Targets & league

Monthly volume targets per station, progress against pace, projected month-end and the hit rate over time.

Roles that fit a forecourt

Owner, Supervisor, Attendant and a view-only Guest login for a partner, investor or owner who lives abroad.

Who it's for

Built around the people on the forecourt.

The owner

Opens one screen and sees today's sales, profit, stock and the short list of things that need them. That works from Kampala, Mbarara or London.

The supervisor

Opens and closes shifts, records deliveries, dips and expenses, and covers for an absent attendant, without access to the owner's setup screens.

The attendant

Their own shift, their own pumps, their own cash-up on a phone. It's quick to fill in and the result is fair.

The growing network

Two stations or ten. Add a new site as "opening soon" and switch it to trading on opening day.

DCK Energies: a petrol and diesel station on the Mukono side of Kampala

IFS runs this station's daily shifts and cash-ups. We started with an open brief at a station that was still being set up, and built the system with the owner as the station began trading.

  • Shifts, meters, cash-up, expenses and deliveries in daily use
  • Months of handwritten registers transcribed and checked meter by meter
  • Full petrol price-change history rebuilt, so past margins are right
  • Station branding, a public landing page and staff logins on its own domain

See IFS on a full three-station network

We keep a complete demo network with months of trading, open shifts and real problems for the system to catch. We show it in person, so the walk-through fits your station and your questions.

  1. Tell us who you are and how many pumps and stations you run.
  2. We agree a time for a call, a video walk-through or a visit to your station.
  3. You see your own kind of day: shifts, cash-ups, tank dips, alerts and reports.
